Major system update
Posted by user iconBart Vanderstukken in General

Today we updated the TrackMyPeople system. You'll note this immediately when you log in.

The backend part of the site has been seperated from the public (main) content and is totally secured.

PLEASE NOTE: The URL for the backend has changed as well to https://secure.trackmypeople.com, so you need to update your widget (all OS's), which will connect to the new URL.

The system has been refactored to allow greater flexibilty. This way it is (will be) possible to:

  • nest trackers (previously known as projects and companies)
  • track time for any tracker, meaning you can also track time for a company
  • assign multiple (and soon custom) roles per tracker per user; detailed definition and permission explanation will follow soon
  • new (predefined) role types: employee, reporter (soon also freelancer, contracter, client, etc...)

We also migrated all current projects and companies to this new tracker system. The attendance project is no longer shared, but personalised. Each user now has a default tracker, which we guessed during the migration process.

We followed these rules:

  • users with a single company (owned  or member) have this company as default tracker.
  • users with multiple companies now have a new Task named "Attendance"
  • users without any companies or projects also have this new task

We migrated all attendance block as well (to match these new trackers). Log in and check the new tracker tree (your organisation structure).

If any of your data has errors, please notify us .

Scheduled Maintenance : Thursday 30 Oct
Posted by user iconGijs Nelissen in General

We’re performing infrastructural changes this coming Thursday at 5PM  Brussels time (what time is that for you?).  TrackMyPeople will be unavailable for approximately 1 hour while we make some upgrades to our service infrastructure as well as update the system.

As our service userbase is constantly growing, the architecture of the trackmypeople system quickly showed us some features were really hard to implement. To make sure we can develop/create new functionality faster, we decided to refactor, to make the system more flexible.

Some of the features you can expect in the new version (online after tomorrows update)

  • Custom Organisation Structure (departements, multiple projects...)
  • Multiple Projects per User
  • Custom Permissions & Roles
  • Seperate secured backend

See you tomorrow.

Easy Time Entry
Posted by user iconGijs Nelissen in General

We advice everyone to use one of our widgets to track your time right from your desktop. Next to that we have a "time entry" page where you can easily update your timesheet for the day or week. This could happen if you are visiting customers, forgot to use your widget or just need an easy way to add your data all at once.

Meet the "Time Entry" page. This interface is split up in a daily & weekly view.

On the daily view you can add descriptions for timeblocks

Use the weekly view to easily register all the work done for a certain (or multiple) projects. When you're done just press save, and the "time entry" system will create the according 'free blocks ' for you.

User & Project Reports
Posted by user iconGijs Nelissen in General

TrackMyPeople wants to be the best. And to become that nr 1 time tracking solution, we are fully aware we need to constantly improve our services to walk that 'extra mile'. For that same reason we are very proud to announce a new feature : custom user & project reports. For now we added the most important charts, if you have any specific reports in mind that will help you run your business easier, please let us know , we might add it...

On the "manage users" & "manage projects" pages you can now see a little icon in front. Use this icon to go to the reporting page. You should see something like this :

time reporting page

If you are listed as a project/company manager, you should be able to switch to other users or projects.

You can now create custom reports using the dateslider

Time Slider : User Reports

If you play with these sliders (available on day/week/month page) you should be able to create reports like :

Chart Module Custom Report

These reports will give you a better overview of a certain users time punching behaviour or general projects activity

Monthly Project activity by user

Pretty impressive for a free time tracking solution, isn't it ?
Please let us know what you think about it, we'll be adding more reports pretty soon.

Free vs Fixed TimeBlocks
Posted by user iconGijs Nelissen in General

We've updated our timeblock system. You now have the option to add Free Blocks to your TimeSheet.

Free blocks vs Fixed blocks

Free blocks are basically timeblocks without a stop or start moment. This allows you to easily add new blocks with a total value. Another advantage is that you can add 'negative' blocks. (e.g. for a discount.)

Screenshot with free (green clock icon) and fixed (red clock icon) blocks:

Screenshot of free/fixed blocks

Update: We've also updated our visual timesheet layout. Blocks that span multiple days will be split into blocks spread over several days. This will only occur in the calendar timesheet itself, don't worry we won't be splitting up your timeblocks, we implemented these changes to make sure you can clearly see that a block is spanning multiple days..

New Feature : Excel Export
Posted by user iconGijs Nelissen in General

We are proud to announce the 'export to excel' feature. From now on you can analyse your employees timesheets offline, just use the 'export to excel' button below the timesheet listing to receive an excel of your records.

export timesheet to excel

Keep in mind that this features keeps the current filtering in account, that means if you are looking at data of employee "John Doe" you will receive an excel time sheet with records of this user only.

Employee Timesheet in excel

Please note the generated excel files are in open office format, that means you need Microsoft Office 2007+. I know i know, alot of you are using older versions of the office suite, that's why we will be adding support for older excel versions. But if you already want to open the current spreadsheets use a decent an office suite like openoffice, star office or Google Docs. It's totally free (unlike other office suites).

We'll be adding support for multiple cultures (format the date/time just you want it), adding formulas for totals and improve the layout in the upcoming days

Multiple Cultures & Timezones
Posted by user iconGijs Nelissen in General

A web based timesheet used everywhere in the world

Because trackmypeople is a web based timesheet application we get signups from all around the globe. Recently alot of our users suggested us to improve the localised support. For example the calendar timesheet overview should show time in the preferred format, based on the user's culture.

timezone & culture settings

That's why we improved the support for different cultures/languages & timezones. Go to your personal profile to update/correct your timezone & culture settings.

Why would you need my timezone ?

To make sure all your "clock punching" actions are stored correctly (based on your timezone) we need to know your timezone. Based on the timezone setting we convert all your start/stop dates to a central unified format. So if your blocks have a strange offset (they start/stop one or multiple hours different from your computers time) make sure to check your timezone settings (in your personal profile).

Once you have correctly stored your personal timezone you should never have to update this again.

Better Management Functions
Posted by user iconGijs Nelissen in General

New functions listed below.

Goto a User Calendar (requested feature)

User Listing : Link to calendar

See those 2 buttons at the start of each user line ? Use these buttons to instantly go to that user's calendar. Note that this functionality is only for managers/company owners, so if you are using trackmypeople as a freelancer (single user), you won't see these buttons.

Improved distinction "My Timesheet" and "Reports"

The "My Timesheet" section only holds personal data. If you are company owner or project manager you will have a "Report" section where you can get an overview of all your assigned user timeblocks.

Just on top of the day or week calendar on the report page you have a dropdown of related users/employees. Use this to switch the view to the users view.
